How to create a WhatsApp link for your business and receive better inquiries

Learn how to create a WhatsApp link with a ready-to-send message, place it where it helps, and identify which channel each customer came from.

A customer finds your business on Google, looks at two photos, and decides to message you. They tap the WhatsApp number, but their phone only shows it as text to copy. They have to save it, return to the app, and start a conversation from scratch.

They can do that. They can also open the next option.

A direct WhatsApp link removes those steps. When customers tap it, they reach the right chat and can find a prepared message ready to send. It may seem like a small detail, but it turns a phone number into a clear action.

The goal is not to cover your entire website with green buttons. It is to build the link correctly, use a message that helps start the conversation, and place it where the customer is already ready to talk.

The basic link format

WhatsApp lets people start a conversation without saving the number first. The recommended structure is:

`https://wa.me/NUMBER\`

The number must include the country code, without the `+` sign, spaces, parentheses, or hyphens.

For example, if the displayed number is `+1 (587) 254-3034`, the link becomes:

`https://wa.me/15872543034\`

The official WhatsApp guide for linking from another app confirms that `wa.me` uses the complete number in international format.

Before publishing it, open the link on both a phone and a computer. It should lead to a conversation with the correct business. One wrong digit can send customers to somebody else or display an error.

Add a message that is ready to send

Opening an empty chat still makes the customer decide what to write. You can reduce that friction with a prefilled message:

`https://wa.me/15872543034?text=Hello%2C%20I%20would%20like%20to%20request%20a%20quote.\`

The text after `?text=` is encoded so spaces, accents, and punctuation work inside a URL. Avoid writing the encoded version by hand when the message is long. You can use a link generator, WhatsApp Business's short-link feature, or ask the person who maintains your website to prepare it.

The WhatsApp help page about click to chat explains that the feature opens a conversation without requiring the person to save the contact.

The message is not sent automatically. It appears in the message field, and the customer chooses whether to edit or send it. That is useful because the customer stays in control and can add the details they need.

A good message provides context

A message such as "Hello, I want information" starts the conversation, but it does not help you answer it.

A remodeling company could use:

Hello, I would like a quote for a remodeling project. The project is in [city], and I need help with [type of work].

For an auto repair shop:

Hello, I would like to ask about availability. My vehicle is a [make and model], and I need help with [problem or service].

For a barbershop or salon:

Hello, I would like to book [service] for [preferred day or time].

The brackets show what the person should complete. Keep the message short. If it looks like a twelve-question form, the button stops feeling like a quick contact option and becomes another task.

My recommendation is to request only the information required for the next step. The remaining details can come during the conversation or through a form when the quote truly requires them.

WhatsApp Business also creates short links

If you use WhatsApp Business, you can get a short link from the app's business tools and define a default message. The exact menu location may differ between Android, iPhone, and app versions, so it is best to follow the official guide for creating short links.

This option is practical if you do not want to build the URL manually. You may also be able to share the link or generate a QR code from the tools available in the account.

Keep the final link in a document your team can access. That way, everyone uses the same number, message, and version when updating profiles, ads, or printed materials.

Where to place it so it actually helps

The link works best near a decision. These are the locations that usually make the most sense.

On your website

Place a WhatsApp button beside a specific action, such as Request a quote, Check availability, or Talk about my project.

On a phone, the button should be easy to tap. It also needs to work on a computer because WhatsApp can open in the desktop app or web version.

You do not need to repeat it after every paragraph. One visible button in the first section, another after the services, and one near the end usually cover the important moments without turning the page into a pushy advertisement.

On your Google Business Profile

WhatsApp provides instructions for adding a chat link to a Google Business Profile. If the option is available for your account and location, it can let someone move directly from a local search to a conversation.

Make sure the number and business hours match what you publish elsewhere online. If the profile says you are open but nobody replies for hours, the link works technically while the experience still fails.

On Instagram and Facebook

On Instagram, you can use the link in your profile or inside a link page. On Facebook, you can place it in the business information and in compatible Page buttons.

For ordinary posts, avoid pasting a long URL into the caption and expecting everyone to copy it. It is clearer to say where the link is: "Message us using the link in our profile."

In emails, estimates, and invoices

A link labeled "Have a question about this estimate? Message us" is more helpful than showing a number without context. It also works well in follow-up emails or appointment confirmations.

In printed material, use a QR code and add an instruction. A square by itself does not explain what will happen when someone scans it.

Use different messages to identify the channel

A direct link does not automatically tell you whether someone came from Google, Instagram, a flyer, or your website. You can use slightly different prefilled messages to get a clue.

On Instagram:

Hello, I saw your Instagram profile and would like to ask about [service].

On Google:

Hello, I found the business on Google and would like a quote for [service].

On a service page:

Hello, I was reading about [service name] on your website and would like to know the next step.

This does not replace an analytics tool. The customer can delete the text, share the link, or arrive another way. It still provides useful context without asking them to complete a survey.

You can also measure how many people tap the WhatsApp button on your website with an analytics tool. That number shows intent, not a confirmed sale. To know how many contacts became customers, you need to record the source in your tracking system or ask during the conversation.

UTM parameters do not measure a conversation inside WhatsApp

UTM parameters identify visits that arrive at a web page. Adding them directly to a `wa.me` link does not make the conversation appear automatically in Google Analytics or another analytics platform.

If you want to measure a campaign, a clearer option is to send people first to a specific page on your website with its UTM parameters. From there, they can review the offer and tap the WhatsApp button. Your website analytics records the visit and the click, while the prefilled message keeps the campaign context.

For example:

Do not build a maze of redirects simply to produce one more number. Measure what you will actually use to make decisions: visits to the offer, WhatsApp clicks, useful conversations, and completed jobs.

Mistakes that cost inquiries

Publishing the number in the wrong format

The link requires a country code and digits only. A local number that works on your phone may fail for someone in another country.

Not testing the link after changing numbers

Check your website, Instagram, Facebook, Google, email signatures, QR codes, and documents. An old link can keep circulating for months.

Promising an immediate reply when nobody is available

If you respond during business hours, say so. You can also configure an away message in WhatsApp Business to explain when you will answer and what information the customer can leave.

Using the same message for everything

"I want information" forces every conversation to begin from zero. A message adapted to the service or channel lets you respond more precisely.

Asking for too much information in the first contact

You do not need a complete address, budget, date, email, legal name, and ten photos before saying hello. Ask for the minimum information needed to know whether you can help, then guide the conversation.

Depending only on WhatsApp

WhatsApp makes contact easier, but it cannot explain by itself what you do, where you work, how long the process takes, or why someone should choose you. That information should live on your website or on a page you can maintain and measure.

A ten-minute review

Try this test from your own phone:

  1. Search for your business on Google and find the way to contact it through WhatsApp.
  2. Visit your website and try to find the button without scrolling through the entire page.
  3. Open the link and confirm that it reaches the correct number.
  4. Read the prefilled message as if you were a new customer.
  5. Confirm that it asks only for the necessary information.
  6. Repeat the test from Instagram or Facebook.
  7. Send a message and confirm that someone at the business receives the notification.

If you have a team, agree on who responds and what happens when that person is unavailable. A link that is easy to open can increase inquiries, but it also needs a simple process behind it.

The link opens the door, and the conversation does the rest

Creating the link takes only a few minutes. Making it useful requires thinking about what the customer needs immediately before tapping it.

Use the correct international number, prepare a short message, adapt the context to each channel, and test everything on a real phone. Then measure not only how many clicks you receive, but how many conversations include enough information to move forward.

WhatsApp does not replace a good website or a clear customer service process. It works best as the natural next step after a customer understands what you offer and decides to speak with you.
